Update and Clarification regarding TICA Extraordinary General Meeting

At the membership meeting on December 8th, 2019 it was reported that 124 votes were cast, 75 in favour of the motion to borrow funds to complete the Hall expansion, 49 opposed.  However, the number of Members registered to vote had been tabulated as 122. Based on this and other voting irregularities, we declared and reported the vote to be invalid.

After questions and concerns about that outcome were raised by some Members, registration records were reviewed and it was determined that 124 was the correct number of eligible voters at that meeting. We apologize for reporting the erroneous tabulation.

As part of our review we found at least two factors that contributed to errors.  A confusing membership list was used to register members, which made both the registration and tallying Members in attendance more difficult.  Also, an insufficient number of ballots had been prepared which necessitated ballots to be torn in half, or even quartered.

A working group is being set up to review and improve registration procedures, and the organization of future meetings to ensure these mistakes cannot occur again.  Any Member interested in contributing to this review is most welcome.  Current steps in place to resolve these issues include; more registration tables with all eligible voters being listed individually (not as couples, as many have different last names), a sufficient number of printed ballots and more stringent monitoring of how and when ballots can be cast.
